Privacy Policy

BenchBot is operated by TechKnow Logical in Toronto, Ontario. It syncs a published league schedule into your TeamSnap calendar and emails you when that schedule changes. This page explains what it collects, why, where it goes, and how to have it removed.
The short version: BenchBot collects the least it can — an email address, which team you follow, and permission to write to one TeamSnap calendar. It does not sell anything to anyone, does not advertise, and does not track you around the internet.
What we collect
Information you give us
- Your email address — either typed into the signup form, or read from your TeamSnap account when you connect it. It is how we send you schedule changes.
- Which team you follow — the division, level and club you pick, plus an optional display name for your team.
- Game-day preferences — home and away jersey colours and how early you want to arrive, which we write onto the calendar events.
Information from TeamSnap, once you connect it
- An access token that lets BenchBot add, change and remove events on the one team calendar you choose. You grant this through TeamSnap's own login screen; we never see your TeamSnap password.
- Your TeamSnap user ID, and the names and IDs of teams you manage, so we can show you a list to choose from and confirm you are allowed to edit that team.
Information created by using the service
- A copy of your team's published schedule, so we can tell what changed since last time. This is public league information, not personal information.
- A record of emails we sent you and whether they were delivered, kept for 90 days and then deleted automatically.
- Payment records — that you paid, when, how long your pass runs, and the Stripe reference for it.
What we never see
Your card details. Payment happens entirely on Stripe's own checkout page; BenchBot receives a confirmation that a payment succeeded and nothing more. We also do not use advertising or analytics trackers, and we set no tracking cookies. The only cookie BenchBot sets is a short-lived one during the TeamSnap login handshake, which expires after ten minutes.
Why we collect it
Every item above exists to deliver the thing you asked for: watching a schedule and keeping a calendar current. We do not use your information for any other purpose. In particular, we do not sell, rent or trade personal information, and we do not send marketing email — the only email you receive is about your own subscription.
Who else is involved
BenchBot relies on a small number of service providers. Each receives only what it needs to do its job.

Some of these providers operate outside Canada, which means information may be stored or processed in another country and be subject to that country's laws.
How long we keep it
Your subscription details are kept for as long as your subscription exists. When you unsubscribe, we delete the subscription immediately, along with the saved copy of your schedule, your calendar mapping and the record of which events we created. If that was the last subscription on your email address, your TeamSnap connection is deleted at the same time — BenchBot no longer holds any permission to touch your calendar.
Two things outlive that moment, and we would rather say so than not:
- Backups. Encrypted nightly backups are kept for 60 days, so deleted information disappears from backups within 60 days rather than instantly.
- Payment records. Stripe retains its own record of the transaction under its policies and Canadian record-keeping requirements.
Events BenchBot already added to your TeamSnap calendar stay there after you unsubscribe. They are yours — we simply stop updating them. You can delete them in TeamSnap if you want them gone.
Your choices
- Stop the emails, and delete your data. Every notification email has an unsubscribe link. Using it removes your subscription and your TeamSnap connection as described above — no reply or request needed.
- Revoke calendar access directly. You can disconnect BenchBot from inside your TeamSnap account at any time, independently of us.
- Ask what we hold, correct it, or have it deleted. Email support@benchbot.ca and we will respond within 30 days, as PIPEDA requires.
Security
The website is served over HTTPS and the origin server accepts traffic only through Cloudflare. The database sits on a single server in Toronto, access to it is restricted to the operator, and backups are encrypted. TeamSnap access tokens are stored so BenchBot can refresh your schedule without asking you to log in repeatedly; they are held on that same server and deleted when you unsubscribe.
No system is perfect. BenchBot is a small service run by one person, and this policy describes real practice rather than an aspiration.
Children
BenchBot is sold to and used by adults — parents, coaches and team managers. It is not directed at children, and we do not knowingly collect information from them. The schedules it handles contain team names and game times, not player information.
Changes to this policy
If this policy changes in a way that affects what we collect or who we share it with, we will update the date at the top and email active subscribers.
